How to build a spec compliance matrix for submittals and bids

A compliance matrix turns a spec section into a checklist the reviewer can scan in minutes. It is the fastest way to show that a product meets spec, and to find where it does not.

Columns that work

• Spec paragraph (for example 2.3.B.2).
• Requirement, in plain words, and the required value.
• What the product data says, and the document and page it says it on.
• Status and a short remark.

Statuses

• Complies: the documents clearly meet the requirement.
• Deviation: the documents clearly do not meet it.
• Option needed: met once a named ordering option or accessory is added.
• Missing information: the documents never address it.
• Needs review: partly met, ambiguous or a judgment call.

Keep it honest

• State deviations openly; reviewers trust a matrix that admits them.
• Never mark a line as complying on an assumption. If the data does not say it, request it.
